Operations Coordinator

The Company

Ambrey is a maritime security services specialist. Established in 2010 to create a security company that was more dynamic and creative than most traditional security firms, we have a fresh approach that puts the client’s needs first. With over 150 permanent staff and 7 global office locations, we are the market leader in providing safety, security, marine and risk management services to the Shipping, Oil & Gas, and Offshore industries.

The Role

This position, based in Hereford, is for a full-time Operations Co-ordinator (OC) for Ambrey’s Operations Team. The OC will work with the company Operations Team and have responsibility for assisting in all aspects of maritime transits. The post will report to the Senior Operations Support Manager.

Responsibilities

  • Prepared to undertake routine shift work of 8 hours, between Mon – Sun 0600-2200.
  • Assist in proactively managing the group mailboxes. Clear understanding of client and supplier responsibilities.
  • Be involved in all aspects of provision, planning and management of maritime transits.
  • Assist in the coordination of all transits under the direction of the Operations Managers.
  • Respond to operational issues and queries from Ambrey staff, operational personnel and clients.
  • Escalate and prioritise issues to the Operations Manager or out of hours Duty Managers as required.
  • Ensure compliance and adherence to timelines with all industry codes, client KPIs, schedules, internal procedures and updates.
  • Ability to proactively support Operations Managers delivering on the administrative requirement for each transit to include, but not limited to:
  • Team Requests and Mobilisations, to include booking and issuing of:

– Flights
– Visas
– Op Orders
– Annex D’s
– Team and Weapons details
– Flag State Approval documents
– Assembly of Team and Weapons details
– Prepare draft client invoices and contracts on behalf of Commercial Managers.

  • Undertake any other task which the Operations Management team deems reasonable from a management perspective.

Qualifications and Skills

  • High levels of initiative and self-motivation.
  • Have good judgement and decision making skills, with an understanding of the impact on stakeholders.
  • Strong multi-tasking skills, with the ability to coordinate activities, facilitate unit goals and manage resource requirements.
  • Excellent interpersonal and verbal/written communication skills, with internal and external stakeholders.
  • Excellent IT skills covering the Microsoft Office Suite.
  • Strong administration skills, with the ability to assist in numerous projects simultaneously while meeting exacting deadlines.
  • Ability to work under pressure during emergency situations.
  • Ability to analyse, evaluate and recommend new operational systems, policies and procedures to improve best practice
  • Previous experience within the maritime services sector in a Commercial or Operations co-ordination role.
  • Experience of using a CRM system.

Terms and Conditions

  • Salary: £18,000 per annum
  • Annual leave: 25 days per annum plus public holidays
  • Our normal hours of work will be within the service delivery shift rota (shift pattern: Early 06:00am to 14:30pm, Duty 07:00am to 15:30pm and Late 13:30pm to 22:00pm) covering the hours of 06:00am and 22:00pm, 7 days per week (including bank holidays), with one hour for lunch each day. You can expect to work one of the described shifts every six weeks. When you’re not scheduled to work the shift patterns your working hours will either be 08:30am to 17:00pm, 09:30am to 18:00pm Monday to Friday, with one hour for lunch each day.

Paralegal

The Company

With over 150 permanent staff, 7 global office locations and a fleet of 18 support vessels worldwide, we are the market leader in providing safety, security, marine and risk management services to the Shipping, Oil & Gas, and Offshore industries. Ambrey is growing fast, including opening a shipyard in Hythe Southampton in 2019 and establishing an insurance broking company and creating a Maritime Risk Intelligence platform in 2020.

The Role

This full-time role for the Ambrey Group, which would suit a professional Paralegal / legal advisor/executive who has a wide range of experience (probably 3 years + in-house), is based at the UK Head Office in Hereford. The Paralegal will work with the legal and compliance management team and maintain responsibility for assisting in and developing all aspects of legal, regulatory and compliance across all current and planned business lines.
The Paralegal will handle a hugely interesting and varied caseload, partnering with the agile leadership team in sectors. If you like to go into work in the morning and know exactly what you will be doing with your day, this role is not for you. The work can be challenging and a creative approach to problem solving is sometimes necessary. You will not be bored!
The Paralegal will work directly with the company Directors and Senior Managers, assisting with relevant corporate and commercial requirements while engaging with internal departments, clients, third parties and the Group regional offices and sites. The postholder will report to the Group Legal Counsel.

Responsibilities
  • Advise on contracting management and manage draft, review, edit, proof-read, and amend contracts
  • Drafting of proposals and agreements for discussion, review, negotiation, and execution
  • Research, development and application of legislation and regulations (both national and International law)
  • Assist with the understanding implementation of industry and corporate laws / standards
  • Management of company insurance framework inclusive of claims management
  • Management of Group corporate records and templates
  • Support the development and implementation of internal policies and procedures
  • Support all corporate and commercial matters and instructions
  • Assist training and development programmes for the Group
  • Represent the Group internally and externally with third party stakeholders and industry groups as required
  • Manage the placement of insurance policies for its growing fleet of vessels
  • Support the development of Group policy & procedure
  • Advising colleagues, and negotiating terms with clients on, various BIMCO contracts
  • Ownership of the HSSE statistics – collection and reporting
  • Ownership of the Risk Assessment framework for the Group
Qualifications and Skills

Relevant skills and experience are prized highly, and qualifications may include:

  • a paralegal practice award, certificate, diploma, or higher diploma
  • CILEx qualifications.
  • an HNC/HND or foundation degree in law, legal studies, or paralegal practice
  • a law degree
  • Previous experience within the risk management and insurance is desirable
  • Previous experience within a commercial organisation, desirable, especially with experience of international contracts and negotiations
  • Previous experience with GDPR is desirable
  • High level of initiative, self-motivation, and ability to work under pressure, with a ‘can do’ attitude
  • Good judgement and decision-making skills, with an understanding of the impact on stakeholders
  • Excellent interpersonal and verbal/written communication skills

Recruitment & Training Coordinator

The Role
This position, based in Hereford, is for a full-time Recruitment & Training Coordinator (R&T Coord) for Ambrey’s Recruitment & Training Team. The R&T Coord will work with the Company Recruitment & Training Team and have responsibility for assisting in all aspects of the Recruitment & Training of Maritime Guards. The post will report to the Senior Manager Operations Support.

Responsibilities

  • Assist in proactively managing the R&T mailbox.
  • Assist with populating the multi course matrix.
  • Respond to R&T queries by email and telephone.
  • Respond to R&T enquiries from the Operations Team.
  • Have the ability to quickly shift focus between Recruitment & Training issues as and when required.
  • Ensure compliance and adherence to GDPR and confidently procedures.

CLASS 1 ARMOURER

We are looking for a former British Military Class 1 Armourer, to provide inspection, testing & reporting of Ambrey weapons
& associated ancillary equipment, for our maritime security business. The armourer will work on land in Sri Lanka and on our
vessel based armouries (VBA’s) offshore Red Sea & Gulf of Oman. Work in Muscat, Comoros Islands & Durban may also be required.
The Armourer will move between VBA’s as part of a security team, reverting to armourer once onboard our VBA.

The Armourer will have a great eye for detail and the ability to maintain both written & electronic records in relation to
weapon maintenance & service programmes, using recognised engineering practices.

Minimum service requirements:

REME Class 1 armourers qualification, or equivalent Service qualification.

Rotation:

Negotiated with the logistics Manager, but typically a 3 month rotation.

MARINE CREW

Ambrey owns two 871 DWT Diesel-Electric Pilot vessels stationed in the Gulf of Oman and the Red Sea, and also operates a number of chartered vessels. CHIEF ENGINEER

Our Chief Engineers must have previously worked on diesel electric engines (1yr +), as we have two 871 DWT Dutch built Pilot Vessels. Each vessel have 3 Stork Werkspor diesel generators and one electro motor with a single screw propeller. You will be supported by a 2nd Engineer, 3rd Engineer, Electrician and a Motorman. You will work under our Senior Marine Engineer who has spent 4 years working on our vessels so is well placed to provide support and advice as required.

Minimum service experience:

1 yr+ as Chief Engineer on a diesel electric engine.

Crew endorsements:

Our vessels are Djibouti flagged and endorsements will be applied for on successful application.

Rotation:

4 on; 2 off

AB

We require ABs to work on our 871 DWT diesel electric pilot vessels operating as transfer vessels for our maritime security business. Rotation are 8 months on, 1 months off, With options for extensions to allow for holiday time and career progression training. The vessel is crewed with up to 20 people and a up to 110 security guards. 8 months on and 1 month off.
